Job Description

Reporting to:     Administration and Human Resource Manager
Job purpose: The position will assist to Administrative and Human Resource Manager for an effective procurement and logistics management of the project as per the organization policy and manuals. 

Duties and Responsibilities
1.    Compliance to policies, rules/regulations and guidelines
•    Adhere to policies, procedures, regulations and guidelines of HELVETAS Swiss Intercooperation (Code of Conduct; NPR-Nepal; Finance Manual; Security Response Guide; Gender Equality and Social Inclusion Guide; Mobbing, Sexual Harassment & Abuse of Authority; Code of Conduct Against Corruption etc.) and other specific policies applicable for TTDP; 
•    Conflict Sensitive Programme Management at all levels;
•    Ensure compliance of all the terms and conditions agreed between HELVETAS Swiss Inter Cooperation and Swiss Development Cooperation.

2.    Procurement and Inventory Management
•    Support Administrative and Human Resource Manager to prepare procurement plan yearly in the coordination with the project team;
•    Maintain suppliers’ roaster and standing list;
•    Facilitate procurement process of office materials/ equipment and service as required;
•    Ensure proper documentation for procurements;
•    Check the received goods and materials are of the given standards and specifications, quantity, size;
•    Enter the received goods and materials in the Inventory System of HELVETAS;
•    Arrange proper storage of received goods and materials;
•    Ensure the safety and security of goods and materials at store and insurance on time;
•    Prepare list of fixed assets of the project to be auctioned and write off yearly;
•    Support procuring insurance policy for project staff, materials and vehicles;
•    Maintain proper records of the inventory management of the project.

3.    Administrative and logistics management 
•    Provide logistics support for seminars, workshops, and any other events as needed;
•    Support to prepare agreements and contracts of short-term staff, intern, contractor and consultant as per project rules and regulations;
•    Arrange vehicles and drivers for field movement and regular office work in an efficient manner;
•    Line manage Driver positions and verify/check the quarterly log book and cost analysis sheet;
•    Ensure servicing and maintenance of the office vehicles regularly;
•    Support to security focal person for security issues as per needed;
•    Carry out other tasks as requested by the line manager as/when required.

Required Education, Experience and Competencies 
Required Education and Experiences: 
Bachelor’s degree in business administration, management or a relevant subject. S/he should have at least 3 years of experience in procurement and logistics management. Experience in an I/NGO in a similar position will be value added.

Additional Information

Duration: Initially three years with a possibility of extension.

Salary and Benefits: As per rules and regulation of Helvetas Nepal.
