Reporting to: Administrative and Human Resources Manager
Job purpose: This position will assist Administrative and Human Resources Manager in the project's overall administrative functions.
Duties and Responsibilities
1. Compliance to policies, rules/regulations and guidelines
• Adhere to policies, procedures, regulations and guidelines of HELVETAS Swiss Intercooperation (Code of Conduct; NPR-Nepal; Finance Manual; Security Response Guide; Gender Equality and Social Inclusion Guide; Mobbing, Sexual Harassment & Abuse of Authority; Code of Conduct Against Corruption etc.) and other specific policies applicable for TTDP;
• Conflict Sensitive Programme Management at all levels;
Ensure compliance of all the terms and conditions agreed between HELVETAS Swiss Inter Cooperation and Swiss Development Cooperation.
2. Administrative Management
• Assist in claim process and follow-up for medical insurance refund;
• Procure air ticket for staff, intern and consultant;
• Collection and distribution of office documents from other project office, partner organizations, bank and airport as and when required;
• Provide services for photocopying, scanning and printing, typing office documents;
• Assist in logistics support for training, meeting, workshops and /or other activities as required;
• Ensure smooth management of office utility i.e. supply of water, electricity and fuel and servicing for generator, etc.
3 Front Desk Management and Documentation
• Handle incoming and outgoing telephone calls and respond the general queries efficiently and appropriately for immediate actions.
• Update the telephone and email addresses of staffs, partners and stakeholders;
• Keep proper records of incoming and outgoing letters, couriers, documents in registers accordingly;
• Maintain record of office stationeries and consumables as per need;
• Support in managing effective filing system and archiving old office documents with proper records;
• Manage petty cash for day-to-day operation as per HELVETAS Policy;
• Assist in the other tasks as and when necessary, as assigned by the supervisor.
Required Education, Experience and Competencies
Required Education/ Experiences:
Minimum + 2 / Intermediate Level in Management, Commerce or related subject with at least 3 years of experience in similar field. Bachelor’s degree in business administration, management or a relevant subject will be an advantage.

• Ability in using office application word, excel, etc.
• Good verbal and written communication in Nepali and fair in English
• Self-motivated and result oriented
• Good interpersonal skills and a team player
• Commitment towards gender equality, social inclusion and poverty reduction
• Demonstrated ability to work with multi-cultural environment
• Ability to work under pressure with positive attitude
Duration: Initially three years with a possibility of extension.
Salary and Benefits: As per rules and regulation of Helvetas Nepal.
